Classes & Camps Manager

Job Purpose:

Responsible for daily for classes and camps registrations that are of interest to adult and youth community members. Interfaces with the booking software (currently ASAP), instructors (independent, 1099 contractors) and seasonal camp staff.

Responsibility

Essential Functions and Responsibilities:
• Oversees implementation and execution of all classes and camps including:
• Researching and planning new classes and camps based upon community interest/needs and available resources.
• Scheduling class terms as well as dates, times and instructors for classes and camps.
• Scheduling classes and camps in Caterease software.
• Ensuring room set-ups, food & beverage, and other requirements are requested and executed with facilities personnel.
• Developing monthly listings of Classes & Camps for Constant Contact emails and input into President’s monthly DOWNTOWN Newsmagazine column
• Overseeing student registration and database operations (ASAP).
• Maintains ASAP software which includes, but is not limited to, accepting registrations for programs, preparing class rosters, overseeing on-line registration procedures, administering instructor access to online rosters, applying upgrades, generating the required reports.
• Oversees administration and required training of 1099 instructors.
• Maintains class and instructor files; prepares and executes instructor contracts, hiring paperwork and background checks.
• Prepares and submits monthly compensation for 1099 instructors to Accounting.
• Sends out surveys after classes.
• Functions as liaison with other departments to ensure set-ups, volunteers, food & beverage and other requirements for classes and camps are clearly communicated to Facilities and Hospitality teams.
• Attends and observes minimum of two unique classes per term.
• Prepares weekly Friday report for weekly 1:1s with President.
• Assists in the updating of class flyers and procedure manuals.
• Coordinates volunteers for classes and camps as required.
• Works with Sr. Director of Marketing Communications to develops effective marketing plan incorporating traditional and social media.
• Performs related duties as assigned.

Other Duties and Responsibilities:
• Attends general Management Team staff meetings.
• Supports the mission of The Community House.

Supervisory Responsibilities:
• Builds relationships with 1099 instructors (Independent Contractors).

• College graduate preferred.
• Strong oral and written communication skills; able to express oneself in an articulate and effective manner.
• Excellent phone and interpersonal skills; positive demeanor.
• Well organized; ability to handle interruptions and move from one activity to another while maintaining a pleasant receptive disposition.
• Excellent organization and planning skills.
• Ability to work under pressure and meet required deadlines.
• Excellent computer skills including being proficient in working with Microsoft Word, Excel, and Outlook. Ability to learn internal software programs.
• Strong proofreading skills and great attention to detail.
• Desire and ability to meet new people and be involved in new situations.
• Self-starter.
• Able to define problems and recommend appropriate solutions.
• Able to keep the necessary proprietary information confidential.
• Able to deal with dissatisfied and irate parents, class participants, or teachers and resolve their basic concerns.
• Must be able to operate computer, phone, copier and other office equipment.

Employee and Public Contact:
• Daily contact with program registrants and participants, parents, and instructors.
• Works regularly with Hospitality, Accounting, Facilities and Volunteer Coordinator.

Physical Demands:
• Works at the computer and talks on the phone for extended periods of time.
• Job requires standing, walking, sitting, stooping, bending, pulling, pushing and occasionally lifting up to 20 pounds unassisted.

Work Schedule

Hours: Part Time; 20hrs/week; Exempt
• Part time hours are Monday through Friday, 9-2pm.
• Able to work flexible hours which includes some evenings and weekends.
